What to include in a recurring employee bus rental enquiry: shift volumes, pickup points, service days, route terms and written inclusions.
A monthly staff-transport request is easier to review when it describes the shift pattern as well as the route. The goal is to make two quotations comparable and to catch assumptions—such as fuel or waiting time—before a service begins.
Document the movement, not just the headcount
Write down the number of passengers on each shift, not only total employees. Include home or meeting-point pickup areas, site or office gates, intermediate stops, arrival deadlines, shift finish times and the return journey. If passenger numbers vary by day, state both the usual and peak loads.
Define the service calendar
Note operating days, public-holiday requirements, weekly rest days, shift rotations and the proposed contract length. Describe whether the route repeats in both directions and whether a vehicle is needed between shifts. For a project with an end date, include the expected final service day.
Ask for commercial terms in writing
Request an itemised explanation of driver arrangements, fuel, mileage allowance or limits, tolls, waiting time, overtime, taxes, replacement arrangements and cancellation or change terms. Do not assume an item is included because it is common in another quote.
Match capacity to the peak trip
Alwas lists 12- and 13-seat Toyota Hiace, 22- and 30-seat Toyota Coaster, and 60- and 66-seat bus options. Match the listed seat count to the busiest single departure, then confirm exact vehicle configuration and whether the driver is included in that count.
Before you confirm
Ask the provider to restate the route, timetable, operating dates, service duration, vehicle, inclusions, exclusions and price in writing. A complete brief gives the operations team useful information to assess dispatch and availability for the requested period.
Share your route, passenger count, date and schedule to request a quotation from Alwas Bus Rentals.
